How to Get a COI Fast: Tips for Planners and Venues

Time-sensitive events need certificates quickly. Learn tips for getting your event COI issued as fast as possible without sacrificing accuracy.

Why Speed Matters for COIs

Event timelines are often tight. Venues need certificates before confirming bookings, permit authorities need them before approving applications, and landlords need them before granting access. A delayed COI can cascade into delayed permits, venue complications, and event planning setbacks. Getting your COI quickly—without errors—keeps your event on track.

Prepare Your Information in Advance

The single biggest factor in COI speed is the completeness of your initial request. Before contacting your broker, gather: your venue's full legal entity name (from the contract), their complete address, their specific coverage limit requirements, any additional insured requirements, your event dates including setup and teardown, details on alcohol service, and the venue's certificate submission deadline. Providing all of this upfront eliminates back-and-forth questions that slow the process.

Choose the Right Broker

Not all insurance brokers handle event insurance with the same speed. A specialty event insurance broker processes event certificates routinely and understands venue requirements. They have established carrier relationships that allow for faster underwriting and certificate issuance. General insurance agents who rarely handle events may take longer and make more errors on event-specific certificate requirements.

Standard vs. Specialty Timelines

Standard events (weddings, corporate events, private parties) can often receive coverage options within 24 hours and certificates within 24 hours of binding. Specialty events (festivals, rodeos, productions) require more detailed underwriting and typically take 2–5 business days for coverage options. Plan accordingly based on your event type and request coverage as early as possible.

After You Receive Your COI

Once you receive your certificate, review it carefully before sending it to your venue. Verify the legal entity name, address, coverage limits, policy dates, and additional insured language. Catching errors before submission saves time compared to having the venue reject the certificate. If everything looks correct, submit it to your venue and keep a copy for your records.
