Venue COI Checklist
Submitting a compliant Certificate of Insurance on the first attempt saves time and prevents event approval delays. Use this checklist to verify every element before sending your COI to the venue.
Pre-Submission Verification Steps
Before requesting a certificate from your broker or carrier, gather the following information directly from the venue contract. Do not rely on verbal instructions or prior event requirements, as venues frequently update their insurance provisions.
- Venue Legal Entity Name — Obtain the exact legal name as it should appear in the Certificate Holder and Additional Insured fields. This is often different from the venue's trade name. For example, "The Grand Ballroom" may be owned by "Grand Ballroom Events LLC" or "ABC Property Holdings Inc."
- Required Limits — Confirm the per-occurrence and general aggregate minimums. Note whether an umbrella or excess policy is required and at what limit.
- Required Endorsements — Identify whether the contract requires Additional Insured status, primary and non-contributory designation, and/or waiver of subrogation. Note any specific ISO form numbers referenced.
- Liquor Liability — Determine whether the event involves alcohol service. If yes, confirm whether host liquor liability is sufficient or whether a separate liquor liability policy is required.
- Delivery Deadline — Note the contractual deadline for COI submission. Build in at least 5 business days for processing.
Certificate Review Checklist
Once you receive the draft certificate from your broker, review each of the following fields against the contract requirements:
- Named Insured matches the entity that signed the venue contract
- Policy effective date is on or before the event setup date
- Policy expiration date is on or after the event teardown date
- Per-occurrence limit meets or exceeds the contractual minimum
- General aggregate limit meets or exceeds the contractual minimum
- Products/completed operations aggregate is listed if required
- Certificate Holder field shows the venue's exact legal entity name and correct mailing address
- Description of Operations references: event name, event date, Additional Insured status, primary and non-contributory (if required), and waiver of subrogation (if required)
- Liquor liability coverage is shown if alcohol will be served
- The certificate is signed and dated by the authorized representative
After Submission
After delivering the COI, follow up with the venue's event coordinator or risk management contact within 48 hours to confirm receipt and compliance. Request written confirmation that the certificate has been accepted. If revisions are needed, most carriers can issue an amended certificate within 24 hours.
Retain a copy of the submitted certificate and any acceptance correspondence. In the event of a claim, the certificate serves as evidence that coverage was in place and that the venue's requirements were met at the time of the event.
